Volunteer Job Descriptions
ANNOUNCER (home meets only) MUST BE CERTIFIED
Announces individual events. Works closely with the starter to keep the meet running smoothly. This position fulfills one volunteer slot.
STARTER (home meets only) MUST BE CERTIFIED
Determines all lanes are properly filled with eligible swimmers. Responsible for making sure that swimmers are in proper start position and timers are in place before starting the event with a horn. Also determines false starts and disqualifies swimmers who had a false start. This position fulfills one volunteer slot.
STROKE JUDGE (2 per team per half + 2 relay SJs) MUST BE CERTIFIED
Determines if swimmer completed entire swim event according to league rules (swimmer's start, body position, arm stroke, leg kick, stroke order, turns, and finishes). 2 relay judges are also needed per half. Relay stroke judges only work relays, but in both the 1st and 2nd halves. This position fulfills one volunteer slot.
HEAD LINE UP/TENT PARENT
Supervises the age group tent, where swimmers sit together during meets. Arrives at swimmer check-in time, checks in swimmers for the age group prior to the start of the meet, and ensures swimmer numbers are correct. Distributes heat sheets to line-up parents and coordinates the line-up of swimmers for their events.. This position requires a commitment for all the swim meets, fulfills all volunteer commitments for the season, requires experience in lining up swimmers, and is subject to approval of the Line Up Chair Person.
LINE UP PARENT (2-3 per age group, depending on age group, for whole meet)
Arrives at swimmer check-in time and checks in with head line-up parent for their age group to receive their assignments. Responsible for finding the swimmers for their assigned lane and event and getting them to the ready bench on time with caps and goggles. The line-up parent should stay with their swimmers and escort them from the ready bench to the pool and help them get into the proper lane for their event. Line-up parents work for the entire meet and the job is worth one volunteer slot. Parents must have a 6U swimmer to serve as a line-up parent in the 6U tent, and priority is given to parents with only 6U swimmers.
READY BENCH (2 per half)
There will be 2 ready bench areas at home meets, one on each end of the pool. One side (away from the timers) will be used for relays and 25-meter/yard swims. The other side (near the timers) will be used for relays and 50-meter/yard swims. The ready bench parents assist the line up parents in getting the swimmers seated on benches in heat order. They announce upcoming events and direct line up parents and swimmers when it is time to go from the ready bench to the deck chairs. This position will fulfill one volunteer slot.
TIMER (10-12 per half)
Timers are provided a stop watch and assigned to a lane. The timer operates the stopwatch to get the time for each event and heat. Both teams combine to provide 3 timers and 1 scribe for each lane. All 3 times are recorded by the scribe. This job gives you the best view of the swimmers during the meet. This job is usually in the shade, but it does require standing, and your feet will get wet. This position fulfills one volunteer slot.
SCRIBE (3 per half)
Scribes are assigned to one lane. The scribe records swimmer's time from all 3 timers in their lane. The scribe will hand the time sheets to Runners. The scribe may be required to operate a stopwatch for backup time. This position fulfills one volunteer slot.
RUNNER (2 per half; home meets only)
The runner picks up completed time sheets from scribes and delivers to the scoring table. The runner will pick up completed timesheets after awards and take them to the data input area. Wear comfortable shoes, as this job keeps you moving around the pool and the time passes quickly. This position fulfills one volunteer slot.
DATA ENTRY (2 per half)
Responsible for entering data from the time sheets into software. You will work together with volunteers from the other team to enter swimmer event and times info into our meet software. This position is seated and is usually in the air conditioning. This position fulfills one volunteer slot.
CIRCLER (1 per half)
Circles middle time on timer ticket, order from fastest to slowest by heat. Hand ordered tickets to awards person. NOTE: This position gets to sit, is guaranteed to be under shade, but you are not readily on deck to watch the races. This position fulfills one volunteer slot.
AWARDS (3 per half; home meets only)
Receives the results of each event from the scorekeeper and hands out ribbons to swimmers. This position fulfils one volunteer slot.
CONCESSIONS (4 per half; home meets only)
The concession stand will be open during the entire meet. This position will be divided into half-meet shifts and two people are needed during each half. This position is inside the pool office, in the air-conditioning and positions fill quickly!
